What is the outcome? #
By the time we wrap up, you’ll be able to edit and import Phoenix reports into Mailchimp.
Process #
Audiences #
There are 4 audiences on mailchimp that the excel documents can be imported into:
- PHOENIX
- HOLDEN
- HYUNDAI
- JEEP
The Documents #
- You should have recieved 2 excel spreadsheet documents by email
- 1 of the documents will have 2 tabs at the bottom (HOLDEN & HYUNDAI)
- The other excel document might say (CLOSED-REPAIR-ORDERS) or something similar – that will be PHOENIX
- If the document doesn’t have any of those audiences listed in the document, it will be PHOENIX
Process #
- Open up the document
- Remove any other columns with content besides column A & B
- Copy the entire A column to column E (select whole column by clicking the A)
- Go through and delete any obvious business names (eg. Airtronic Solutions Pty Ltd)
- Select the whole column again, go to Data > Text to Columns
- Click Next > tick Space > Finish
- The names should now be split into different columns
- Delete all the new columns besides the first name column
- Now copy those first names and paste them back onto the original ones in column A
- So now column A should be first names and column B should be emails
- Now remove row 1 with the titles (select the entire row by clicking the 1) > Right click and delete
- Export the document (use the instructions below) and repeat this with the other spreadsheets
Exporting Document #
- Once you have your 2 columns
- Click File > Save As > Browse
- Change the document type from Excel Workbook to CSV (comma delimited)
- Find the Phoenix Holden folder > Databases > Save it over the correct type (eg. Holden, Hyundai etc)
- Click OK
Filter Out Emails #
- If any of the spreadsheets have over 100 contacts, we put them through Neverbounce to filter out the non active emails
- Go to https://app.neverbounce.com/clean
- Login > Add List > Upload the CSV document with over 100 contacts
- Click Clean My List
- Buy more credits if needed
- Once it has finished, click DOWNLOAD
- Make sure to upload the new CSV list to Mailchimp not the old one
Uploading To Mailchimp #
- Login to Mailchimp > Phoenix Motors
- On the left hand column under Audience > All Contacts
- Select which audience you would like in the dropdown under Current Audience (eg. Phoenix motors, Clarkson Hyundai etc)
- Then under Add Contacts > Import Clients
- Select Upload a file > Continue
- Now you can either drop the CSV document here or find it in the Browse section > Continue
- Double check that it is going to the correct audience
- Tick Update any existing contacts > Continue
- Don’t do anything on the tag page > Continue
- On the match page, click into the orange column and select the field First Name (FNAME) – this should automatically fill for you > Confirm
- Make sure the email column is Email Address > Finalize Import
- Click Complete Import
- Do these for each audience, make sure to change the Current Audience dropdown before importing
